The last Saturday of the month is the most valuable day a local mover has. If a customer books it and cancels Thursday night, you lose the move and it is too late to fill the truck. A deposit and a short, clear cancellation policy fix most of that.

Why deposits matter more for movers

Most home service jobs can be moved around. Moves cannot. The customer's lease ends, the closing is set, the new tenant arrives. That means:

  • People book early and sometimes book two movers "just in case"
  • Your best days fill weeks ahead and you turn other people away
  • A last-minute cancellation leaves a crew you already promised hours to

A deposit makes the booking real for both sides.

How much to take

Common choices for local moves:

  • A flat deposit: $100 to $250, for example $100 for a one-bedroom and $200 for two bedrooms or more
  • A percentage: 10 to 25 percent of the estimate

Flat is easier to explain. On a two-bedroom estimated at $1,030 with stairs, a $200 deposit leaves a balance of $830 on moving day. Check your state's rules too; a few states limit deposits or require specific wording for household goods movers.

When to refund it

A policy customers accept usually looks like this:

  • Cancel 7 or more days before: full refund
  • Cancel 3 to 6 days before: half refunded, or moved to a new date free
  • Cancel within 72 hours: deposit kept
  • We cancel or reschedule: full refund, always

Offering to move the deposit to a new date, instead of keeping it, wins goodwill and usually keeps the job.

Write it down in plain words

Your policy should fit in five lines, sit on your website and appear on the deposit invoice. For example:

Your $200 deposit holds your date and crew. It is applied to your final bill. Cancel or change your date 7 or more days ahead for a full refund. Within 72 hours of your move, the deposit is non-refundable. The final bill is based on actual hours at the rates in your confirmation.

That last sentence matters. It reminds the customer that the estimate is not a binding price.

Collect the deposit the moment they say yes

The longer you wait, the more likely the customer books someone else. The best time is right after they pick a date: send a deposit invoice by text, they pay by card on their phone, and the date is held. If you take bookings online, the deposit invoice should follow the booking automatically.

Collect the balance before the truck leaves

On moving day, the final bill goes by the actual hours. When the last item is placed:

  1. Walk through with the customer and check for damage
  2. Add up the hours and any add-ons
  3. Text the balance invoice and let them pay by card on their phone

Reminders cut no-shows

Send a reminder two days before the move with the start time, the crew size, the parking note and the balance terms, then another the evening before. Customers who get reminders are packed, have the elevator reserved and are home. Most "nobody was there" mornings come from a booking nobody confirmed.

Handling the hard cases

  • The customer was not packed: call it out early in the day, not at the end. Offer packing at your hourly rate or extra materials
  • Damage claims: follow your written valuation terms and your cargo insurance. Never argue on the driveway; take photos and follow up in writing
  • Weather: if you reschedule for safety, move the deposit to the new date at no cost

Deposits for small jobs

For labor-only jobs and small hourly moves, a smaller deposit works: $50 to $100 on a job that starts at $220 or $280. The point is the same. Someone who paid even a small amount answers your reminder text and is home when the crew arrives.
